Position Description Purpose
The Facilities Supervisor manages and maintains a common standard of building and facilities maintenance service relating to the upkeep of the premises, which will include all aspects of Health, Safety, Security and Environment (HSSE).
Principal Accountabilities
Customer satisfaction
- To monitor cleanliness and good housekeeping of office building and surrounding area so as to ensure a pleasant working environment.
- Carry out daily inspections to reduce risks and take proactive actions.
- Provide quality control support in terms of operation process, resolution time, and reduction in the number of business partner complaints.
- On call 24 hours, Mobile phone βONβ at all times to respond to any emergency breakdown.
Contract execution
- To act as the local point of contact / liaison for external contractors and consultants.
- To follow up on the execution of office services works and contracts such as gardening, office maintenance, cleaning, dispatching.
- Ensure all contractors are fully briefed on HSSE and work permit issued before conducting any maintenance work.
- Ensure that the service level agreement is delivered as per contract.
- Ensure that proper records are kept for plant maintenance, gardening services and pest control services.
Organising and Planning
- Coordinates and directs planning, maintenance of buildings equipment and other facilities by applying best practice facilities management, to deliver business-focused built environment.
- Liaise with team in terms of related daily operations and activities in order to ensure appropriate communication between the team and to avoid conflicts.
- Establish clear manpower planning schedules to ensure minimum service on Saturdays and weekdays during lunch and break and also if required Weekend, Public Holidays.
Leadership
- Manage and motivate the team for the smooth running of operations and delivery of service.
- Weekly meeting with the services team.
- Ensure that toolbox talks and PIs are completed as per HSSE target set for the office services team.
- Ensure prompt action and closure in the system when PIs are raised.
- Document all work carried out within the office.
- Maintenance works
Others
- Act as driver as required.
- Back up the receptionist as required.
- Ensure monthly testing of fire alarm and RCD.
Requirements
Qualifications, Job Knowledge, Skills amp; Experience
- Minimum HSC with facilities technical knowledge.
- Technical background would be an advantage.
- Driver with at least 3 years of experience.
- Computer Literate
- Good leadership and supervisory skills.
