Job Purpose
Be the company’s first point of contact for customers and visitors and provide a thorough and professional switchboard and reception service.
Principal Accountabilities
- Welcome visitors by greeting them, in person, or on the telephone, answering or referring queries.
- Maintain security by following procedures; monitoring logbook, issuing visitor badges.
- Answer, screen and forward any incoming phone calls while providing basic information when needed.
- Maintain safe and clean reception area by complying with procedures, rules and regulations.
- Maintain continuity among work teams by documenting and communicating actions.
- Provide general administrative duties to the HR and Office services department.
- Receive and sort daily mail/deliveries/couriers.
- Manage catering services from ordering to payment.
- Preparation of the daily roll call. Update of the time attendance system.
- Leave Management Ensure that the leave records on HR system are up to date.
- Manage taxi services, booking and payment.
Requirements
Job Knowledge, Skills amp; Experience
- Higher School Certificate or any equivalent qualification.
- High level of computer literacy. Proficient with Microsoft Office.
- At least 2 3 years of experience in the same position.
- Solid communication skills both written and verbal in English and French.
- Experience in working on a PABX switchboard.
- Customer service experience.
- Ability to organise, multitask, prioritise, and work under pressure.
- Stay calm under pressure.
- Ability to be resourceful and proactive in dealing with issues when they arrive.
- Team player.
